Nurturing Needs - Terms and Conditions 

Overview of services: 

Nurturing Needs offers support to children with special educational needs and disabilities (SEND) and their families through a range of services. All services must be pre-booked. Service prices are indicated at the time of booking. Bookings are not confirmed until Nurturing Needs receives a completed booking form and full payment made via bank transfer to the bank account details provided in the booking email. All services are held at Natal Wellness (apart from the option of online consultation) their facility policies apply to all sessions held with Nurturing Needs. 

 

Children's Sessions:

Sensory Stay and Play, Craft Club and Cookery Club are group sessions that support the needs of children with SEND. 

 

Rules for all children's sessions:

1. A responsible adult must be present with the child/children booked into the session. Responsibility for the care and safety of the child/children remains with the adult attending the session. Nurturing Needs take no responsibility and are not liable for the care or and supervision of children during their time at Nurturing Needs. 

2. We kindly request that any damage to equipment is reported to a member of staff immediately to ensure the safe and correct functioning of our equipment. 

3. Nurturing Needs provides a safe, inclusive environment for children and families, the unique differences of individuals are celebrated. We request that our clients respect and uphold these values. Persistent behaviour deemed inappropriate by Nurturing Needs staff may result in refusal of admission to future sessions or early termination of booked services.  

4. To ensure the wellbeing of our clients we request that children or adults with communicable illness such as vomiting and/or diarrhoea, flu, COVID-19 are kept home and do not attend sessions. 

 

Photography:

We understand the importance of creating and storing memories through photographs. Clients are permitted to use personal photography devices during sessions. We respectfully ask that you take care not to capture other children in your images/videos. In certain situations, we may insist that photographs or videos are not taken during a session to safeguard our clients. 

Nurturing Needs may take photographs and videos during children's sessions for marketing and branding purposes. These may be used on internal displays, social media, email campaigns or on the Natal Wellness and Nurturing Needs website or other promotional material. Should you wish not to be included in these images/videos, please make a member of staff aware at the start of the session. 

 

Cancelation: 

Nurturing Needs reserves the right to cancel sessions at any point due to exceptional, unavoidable or personal circumstances. Should this situation arise, as much notice as possible will be given via email or phone, a full refund will be provided or the session may be offered on an alternative date, subject to availability. We kindly request that if you are unable to attend your session you provide as much notice as possible by contacting Nurturing Needs at leane@natalwellness.co.uk. Nurturing Needs offers a 24-hour cancelation policy for all children's session. Cancelation of sessions with over 24 hours’ notice will be refunded or may be moved to an alternative date, subject to availability. Cancelation of sessions with less than 24 hours’ notice are non-refundable and non-transferable. 

 

First Aid: 

Nurturing Needs staff are trained and certified in paediatric first aid. Should an incident occur where first aid is required this will be carried out by a member of staff and an incident form will be completed.

 

​Consultations:

Nurturing Needs offers an advisory consultation service for parents/carers of children with SEND. Leane specialises in supporting families with autistic children, however, can offer generalised support across a range of SEND needs. Nurturing Needs offers support to parents/carers regarding understanding and supporting the needs of the child and family. Leane cannot offer mental health intervention or advise for families or children, but will endeavour to provide the best possible support. 

Nurturing Needs does not allow children to be present during a consultation, should children be present in the background of an online consultation, the consultation may be terminated early, in this situation no refunds are able to be provided. 

Each family is entitled to one free twenty-minute consultation, following this there is no obligation to book a further session. Following the free twenty-minute consultation, further consultations are chargeable at £60 per hour. Consultations are arranged at mutually agreed time and can be held in the consultation room at Natal Wellness or via an online video link. 

 

Confidentiality:

Information disclosed within the consultation will be treated confidentially. This means that information is strictly kept between Nurturing Needs and the clients present in the consultation. Nurturing Needs may take notes in order to provide follow up emails and resources, these will be stored in accordance with GDPR and Nurturing Needs Privacy Policy. There may be circumstances where information needs to be passed to other agencies. For example, if there is concern for the safety or wellbeing of a family member or child or a criminal offence has been committed. In this case confidentiality must be breached in order to pass on the relevant information to the appropriate safeguarding authorities. Where possible or appropriate you will be informed of the breach of confidentiality.

 

Cancelation:

Nurturing Needs reserves the right to cancel consultations at any point due to exceptional, unavoidable, or personal circumstances. Should this situation arise, as much notice as possible will be given via email or phone, a full refund will be provided or the consultation can be rearranged at a mutually convenient time. We kindly request that if you are unable to attend your consultation you provide as much notice as possible by contacting Nurturing Needs at leane@natalwellness.co.uk. Consultations cancelled four - two weeks prior to the agreed date and time will be refunded at 50% of the cost. Consultations cancelled within 2 weeks of the consultation date will not be refunded but may be changed to an alternative, mutually convenient date.

 

Privacy Notice:

Nurturing Needs webpage and booking system operates through the Natal Wellness website. Please find the data collection and privacy policy for bookings on the Natal Wellness website.

For the purpose of providing services, including booking, we collect the following data: 

- Names and contact details 

- Addresses 

- Account history 

- Health information - e.g. dietary requirements 

- Records of meetings 

- Information relating to compliments or complaints 

Consultation records:

Consultation booking forms are stored securely within the Natal Wellness booking system. Records of consultations are stored electronically in a secure folder. Hard copies of consultation records are stored in a locked filing cabinet at Natal Wellness. For consultation records, Nurturing Needs holds a retention period of seven year. Following the retention period, electronic copies of documents are anonymised and hard copies are securely destroyed. Clients may request that their consultation record are destroyed/anonymised at any time by contacting leane@natalwellness.co.uk.

Reports are emailed to clients in a password protected PDF. PDFs are password protected using online software. 

Photographs and videos:

Photographs and videos taken during Nurturing Needs services, for the purpose of marketing and/or branding, are stored electronically. Customers attending any Nurturing Needs sessions have the right to request photographs/video are removed at any point by contacting leane@natawellness.co.uk.

CCTV

Natal Wellness operates CCTV throughout the premises. For details of how CCTV is used in accordance with data protection please see the Natal Wellness privacy notice. 

Other Organisations:

Nurturing Needs operates from the Natal Wellness premises and using the Natal Wellness website. Information submitted through the website is visible to account holders, this includes Natal Wellness and other organisations that use the Natal Wellness premises and website. Under certain circumstances, such as the need for a safeguarding referral, personal data may

be shared with the safeguarding authorities.
